How To Rekey Missed Tips in Fortis

After receiving all information needed to rekey missed tips a certified processing specialist will need to rekey those missed tips in Fortis backend.

How to Rekey Tips in Fortis:

  1. Login to Fortis
  2. Navigate to Locations > Location Name and enter Venue Name in Search Bar
  3. On left hand side click on Settings and scroll down to Services and select
  4. Click edit button (pencil icon) to edit settings
  5. Scroll down and locate Virtual Terminal Settings> Require CVV on Keyed Transactions and uncheck box.
  6. Scroll back to top and save changes
  7. In top center of screen locate tab for Contacts and select
  8. If Support contact already exist if not scroll to top and  select Add Contact button. 
    1. When adding new contact only category needed is Last Name* 
    2. Add contact name Support and Save
  9. When new contact has been added or you have clicked on existing Support contact, a box will appear marked Recent Transactions. At the bottom you will see a button marked Charge. Select button to start rekeying card information
  10. For each transaction you will need to reference the Card Information sheet provided by processor and google sheet filled out by venue. Follow steps below to rekey
    1. On Google sheet go line by line and locate missing tip
    2. In Fortis you will first enter the Transaction Amount: This is the tip that was missed and needs to be rekeyed from google sheet
    3. You will then enter the Card Number: You can find this on the transaction sheet from processor. Locate 15/16 digit full card number. Compare the last 4  available on google sheet and also make sure that original transaction amount from google sheet matches charged amount on processing sheet
    4. In fortis then enter the Exp Month (found on processing sheet) and Exp Year (found on processing sheet) and hit button for submit transaction
      1. Once processed a pop up screen will appear giving you details of the transaction you just ran. If successful it will be green and say approved. If transaction is declined it will say Declined and be grey. It will also list a decline reason to take note of (ex: 005, 001)

    5. After each transaction you will change the fill color of the whole line in the google spreadsheet. Pick 2 colors ( green/ red) and use one to indicate if the transaction was successfully processed and the other for if declined. This will be helpful to the venue when we email to finish  the process
    6. Enter all transactions on spreadsheet 
  11. Once finished navigate back to Settings> Services
  12. Click edit (pencil) button and turn back on require CVV on keyed transactions box and save
  13.  Email venue using template Rekey Tip Completion 
  14. Edit template for venue specific details before sending
    1. Make sure to link  Google spreadsheet for venue to review 
    2. There is a section about declined tips. If no tips were declined and all were successful, remove this section
  15. Confirm all details of ticket have been completed and close Hubspot ticket
